The Center for Restorative Approaches (CRA) works to replace cultures of violence and punitive disciplinary practices with cultures focused on violence prevention and restorative approaches. Restorative approaches, also called restorative practices, are processes and strategies used in workplaces, schools, and the justice system to build, strengthen, and repair relationships.
CRA provides training, consulting, and facilitation of dialogue circles to improve communication, build relationships, reduce violence, and allow those most impacted by conflict and wrongdoing to develop their own solutions for justice and well-being. CRA is committed to practicing and fostering anti-racism, diversity, equity, and inclusion and has developed an anti-racism training based on restorative practices.
The organization has facilitated nearly 1,400 of restorative circles with youth, families, and organizations across the city as an alternative to suspension, expulsion, or other more punitive responses since its establishment in 2008.

JOB DESCRIPTION: This position is responsible for the smooth, coordinated, and timely operation of the office. This invaluable member of the CRA team provides a wide range of administrative, research, and office support.
An effective Administrative Assistant ensures that the day-to-day operations of the office are organized and efficient. The administrative assistant must be proactive, meticulous, and able to work under pressure, at times, to handle a variety of time-sensitive projects and deadlines. The position requires excellent communication skills and the ability to create a helpful and positive presence in the workplace.
Reliable transportation is required. Proficiency with Salesforce data systems, Eventbrite, and Mail Chimp preferred. Some evenings and weekends may be required.
Essential Duties and Responsibilities:
Reception
- Answer general phone and in-person inquiries in a professional and courteous manner
- Direct phone inquiries to the appropriate staff members
- Reply to general information requests with the accurate information
- Greet clients/visitors in a professional and friendly manner
- Sort incoming emails with appropriate labels and/or forward to appropriate staff
Office administration
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and other documents
- Sort incoming mail and deliveries for distribution
- Prepare and send outgoing mail, and courier parcels
- Purchase, receive and store office supplies ensuring that basic supplies are always available and organized.
- Code and file materials according to the established procedures
- Update and ensure the accuracy of the organization’s databases
- Back-up physical and electronic files using proper procedures
- Provide secretarial and administrative support to management and other staff
- Make travel, meeting, and other arrangements for staff
- Coordinate the maintenance of office equipment
- Implement changes as needed to systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements
- Maintain all Salesforce data for accounts and update the data base as needed
- Develop Salesforce reports, monthly and otherwise
- Maintain restorative circle information in Salesforce from receipt of referral to closing status
- Monitor the referral email, log incoming referrals into Salesforce and forward incoming referrals to the appropriate staff member
- Create invites for online trainings in Zoom
- For all Trainings, email participants before the training to confirm dates and times and forward participants any information needed prior to the training. Gather and print out all handouts and manuals and gather training materials using the training checklists.
- Maintain training supplies
- Set up for and record minutes of staff meetings, including projector, screen, speakers, agenda, etc.)
Executive Support:
- Works closely and effectively with the CEO to keep them well informed of upcoming appointments, commitments, and responsibilities, following up appropriately.
- With the CEO, prepare board meeting agendas and supporting materials and ensures timely distribution of materials to the Board.
Assist with financial management
- Use computer software to prepare invoices and financial statements
- Code and file financial material according to established records management procedures
- Process accounts payable ensuring timeliness and accuracy of information
- Process accounts receivable ensuring timeliness, accuracy of codes and appropriate backup (PayPal and hard checks)
- Assist with financial reports as required
- Month end duties as required
General Duties
- Other duties as assigned
- Contributes to the team’s efforts by accomplishing related tasks as required
- Maintain website to update information re: trainings, events, new hires, publicity, etc.
- Maintain digital service status for all accounts such as Zoom, Eventbrite, etc.
